Overview

Responsibilities:

  • Receive, scan, and distribute incoming paperwork (correspondence, invoices, etc.)
  • Organize and manage case files in their entirety, from initial intake to closing file
  • Maintain case files in electronic format to include scanning and OCR’ing voluminous documents and records, as well as file attorney’s notes, pleadings, discovery, disclosure statements and exhibits, notices of deposition, etc.
  • Store all paperwork in designated places securing the important documents, maintaining “originals” insecure manner
  • Follow policies and confidentiality dictations to safeguard data and information
  • Sync deposition videos in Visionary
  • Make witness folders for trial, print large trial exhibits, create exhibit binders for judge and jury as needed for trial
  • Help bookkeeper in closing cases, which can require carrying banker boxes
  • Monitor inventory of all supplies needed for on-site data storage, as well as supplies needed for depositions, trials, etc. and report shortages
  • Occasionally run errands, i.e., pick up lunch, hand-deliver/pick up documents, run to Staples, etc.
  • Help answer phones when the receptionist is not available
  • Assist attorneys/paralegals with projects

Qualifications:

  • File clerk experience
  • Knowledge of filing system
  • Proficient in MS Office and use of office equipment such as photocopier, scanner, etc.
  • Dependable with a respect to confidentiality and policies
  • Excellent organizational skills
  • Great attention to detail
  • High school degree or equivalent
  • Ability to work independently, actively manage workload, and keep filing up to date
  • Occasional moving and lifting heavy objects such as bankers boxes weighing 10-20 pounds or more short distances (20 feet or less).
